If you can purchase the same item from different vendors, or if the vendor is offering you a time limited or volume-based special price, you can assign cost prices and sales dates or quantity breaks to determine the best purchase cost for this item.

Inventory – Warehouse and part number, which comes from the item being edited and cannot be changed.

Vendor – Choose the vendor code for this price. The Vendor name and currency will also be displayed. Once this record is saved, the vendor number will no longer be editable.

Vendor Part No – Part number the vendor uses. This will print on Spire’s default purchase order form for the part number number instead of your companies inventory item number.

Start Date – An optional starting date for this price; the purchase order date must be equal to or greater than this date if entered.

End Date – An optional ending date for this price; the purchase order date must be equal to or less than this date if entered.

Unit of Measure – The purchase order detail for this item must match this Unit of measure in order for this special price to be recognized.

Minimum Order Qty – When the item is added to a purchase order, the default order quantity will be the greater of this value and the Suggested Order Qty of the item, to ensure you purchase enough stock.

Cost Price – The unit cost when purchasing from the vendor, regardless of the quantity ordered, unless quantity break pricing is configured.

Automatically update vendor cost in receiving – Choose this option to update either the main cost price, or the quantity break cost price if applicable, when a purchase order for this item has been received. When this option is not selected, the inventory item Current Cost will be updated from the purchase receipt unit cost.

Variance – The percentage difference from the current cost in inventory, with lower costs displayed as negative values in red font.

Quantity breaks – If the vendor offers you lower prices when you order higher quantities, you can enter all of the order quantity and cost price combinations here, in the same unit of measure as specified above. One of these cost prices will be used on purchase orders if the ordered quantity at equal to or greater than the smallest quantity break value.
