When you want to create a new point of sale entry, there is a sequence of processes to follow.

Customer

There are multiple ways to add the customer to a sale:

  • Locate the customer from the Customer tab and single-click the row
  • Use an action tile to add a specific customer or choose a different customer
  • Click the Add Customer button at the bottom of the screen, where selection of the customer is done from a separate screen.


Some information about the customer related to the sale is displayed here, and you can open this customer record in a separate browser tab to investigate further. When you save this, the Add Customer button now displays the selected customer.

If you need to make changes to the customer information, you can do so from this button, or replace the customer using any of the same methods for adding the customer.

Details

There are multiple ways to add an inventory item to the sale:

  • Locate the item from the Inventory tab and single-click the row
  • Use an action tile to add a specific item or choose a different customer
  • Use the Scan button or action tile to select the item with a scanner or device camera
  • Click the Add Inventory button at the bottom of the screen, where selection of the item is done from a separate screen.

Sales information about this item is displayed here, including quantity and price, and you can open this inventory record in a separate browser tab to investigate further. If images have been assigned to this item, they will be displayed here. When you save this, the item gets added to the sale.

You can make simple quantity adjustments using the plus or minus buttons, or click/tap the item to open the inventory screen to make other changes.

Scan items

Scanning items can be initiated either from the Inventory tab and the Scan Inventory button, the Scan Items action tile, or the scan toolbar button above the details list. When any of these are clicked / tapped, this opens the scan window in place of the left-side list or tiles. It includes a video display if a camera is identified – you will be asked permission for Spire POS to use the camera – and a field that displays the scanned value.

If you are using a scanning device with a UPC bar code, this will read the code and select the item along with any accessories if included.

If you are using a mobile device with a camera, you can read the bar code and insert the associated inventory item.

If scanning the bar code using the device integrated camera does not work, it may be that the bar code format that you are scanning has not been set up to be recognized by Spire POS. You can select from various code formats in addition to the default fonts of Code 128, UPC-A and UPC-E in order to successfully scan your bar codes.

Invoicing

If you have to put the sale aside for any reason and start a second sale, you can save the order using an action tile, and later on retrieve the sales order back into this screen. Otherwise when the customer and all items have been entered correctly, the sale totals will be displayed at the bottom of the screen, with an Invoice button to continue the process.

Clicking/tapping the invoice button brings up a sale summary screen along with all the accepted payment methods and customer credit available.

If the customer has available credit, the On Account button will be active. Otherwise one or more payments of various types can be applied to the sale. When the payment amounts equal the invoice total, the Invoice button will be active for processing.

If there were no issues with the processing and payment, the order will be saved successfully, and the invoice either will be saved in Sales History, or the Sales Order will be closed and ready for Batch processing. The POS Receipt can be previewed or downloaded as a PDF.

After this, you have the opportunity to reprint the receipt, open the invoice record in a separate browser tab, or create a New sale transaction.

When you create a new sale, you can still access this record from the Previous Sale action tile.
