Default salesperson for a sales order.
There are a number of places in Spire for options and settings related to creating new orders and determining the Salesperson code initially present on the order.
- On each customer address, either for billing or shipping, the Order Defaults tab has a place to set a default salesperson value if desired. When a Salesperson code is saved here, creating a new order for the respective address will populate the sales order with that salesperson code.
- Within User Settings, in the Salesperson area, there is a place to select a Default Salesperson code. When a Salesperson code is saved here, and the customer address does not have an assigned salesperson, creating a new order for the respective address will populate the sales order with the salesperson code from User Settings. But if both User Settings and the customer address have default salesperson codes assigned and they are different, the code from the customer address takes precedence and is used on new orders.
- Within User Settings, in the Sales Order area, there is an option to allow Edit Salesperson. When this is enabled, the Salesperson field can be edited. For users that do not have this option enabled, it is highly recommended for there to be a default salesperson code assigned in User Settings as above, otherwise there is a potential to leave the Salesperson code blank on sales orders.
- Within Company Settings, in the Sales Orders area and the Orders tab, there is an option to Require Salesperson on order. When this is enabled, it is not possible to save a sales order when the Salesperson field is blank. In conjunction with the other settings above, it is important to tailor the settings so that orders cannot be created with no default salesperson value, the field is not editable, and the order requires a non-blank value.
Additionally, within User Settings, in the Salesperson area, there is a place to select a salesperson code to Restrict User’s Customers/Sales Orders by Salesperson. When a Salesperson code is saved here, only sales orders with this salesperson value will be displayed and accessible on the order list.
